GFT is seeking an Executive Assistant with experience providing support to the C-Suite, preferably in the Greater Phoenix area. This role follows a hybrid work model, requiring regular attendance at our Phoenix office.

What you’ll be challenged to do:

As Executive Assistant to the CEO and CFO, you will play an integral part in coordinating the day-to-day activities of our executives. We are looking for someone who is detail-oriented and is capable of working within a fast-paced, growing and rapidly changing environment that is mission-driven and people-centric. The ideal candidate will be both strategic and tactical skills, exercise good judgment in various situations, possess strong written and verbal communication skills, demonstrate administrative and organizational skills, while maintaining a realistic balance across multiple priorities.

 

Approximately 75% of your time will be spent supporting GFT’s CEO, with 30-50% dedicated to personal tasks during the workday. The remaining 25% of this person’s time will be spent supporting the CFO.

 
In this capacity, the successful candidate will be responsible for the following:
• Provide high-level administrative support to the CEO and CFO, ensuring seamless day-to-day operations.
• Manage complex calendars, including scheduling meetings, prioritizing commitments, and resolving conflicts proactively with minimal direction
• Coordinate travel arrangements, including flights, accommodations, and itineraries, ensuring efficiency and cost-effectiveness.
• Revieiwng, prioritizing and responding to executive correspondence on their behalf
• Making travel budget or resource decisions based on guidance without routine approval
• Prepare and edit correspondence, presentations, reports, and other documents with a strong focus on accuracy and professionalism.
• Handle confidential and sensitive information with discretion and sound judgment.
• Build relationships with key stakeholders in the CEO’s internal and external network
• Acting as liaison between executive and department leaders, at times serving as a proxy in meetings
• Making decisions o sensitive matters (e.g. handling confidential HR or Legal issues) that involve exercising judgement and discretion

• Prioritize conflicting obligations and needs, independently and proactively carry out projects to completion on tight deadlines.

• Manage and contribute to special projects as needed.

What you will bring to our firm: 
• Associates Degree or equivalent level experience with High School Diploma
• 10 plus years of experience as an executive assistant in fast paced, collaborative professional setting
• 4 plus years supporting and partnering with CEO or other C-Level executive
• Easygoing, approachable, and calm personality who doesn’t take themselves too seriously.
• Great instincts in anticipating the needs of the executives are often supported without much guidance
• Technology proficient, to include advanced level capabilities with Microsoft Office

• Some degree of business acumen and emotional intelligence with the confidence to make decisions 
• A resourceful and reliable self-starter who can multitask in a fast-paced environment, with strong attention to detail
• Someone passionate about the company’s mission and eager to contribute wherever necessary to help in success
• Legally authorized to work in the United States. (Sponsorship is not being offered for this role)
 
What we prefer you bring: 

Bachelor's Degree  

• Experience supporting executives in a professional services organization, preferably in the AEC industry

 

Compensation:
The salary range for this role is $90,000 - $120,000. Salary is dependent upon experience and geographic location.
