GFT is seeking a quality Office Administrative Manager to join our Towson, MD office! This position requires full-time in-office support.

 

The GFT, Shared Service Services team, which includes Human Resources, Legal, Accounting & Finance, IT Services and Marketing & Communications, are essential for managing and supporting the company's global operations. Shared Services are part of a broader strategy to transform the business and improve efficiency. The support of this amazing team of professionals is the backbone of our ability to deliver infrastructure consulting and design services.   

 

What you will be challenged to do:

As an Office Administrative Manager, you will independently carry out and manage the administrative office functions providing advanced administrative support to the Senior Office Administrative Manager, Office Principal and other staff within the office. You will also aid the Office Operations leadership on practice initiatives, key corporate policies, and procedures.

 

In this capacity, the successful candidate will be responsible for the following:

  • Maintain a welcoming safe, and tidy office environment for clients, visitors, and staff,
  • Manage correspondence and pertinent office resources (i.e. phone calls, emails, mail, and packages, manuals, SharePoint sites etc.)
  • Order and maintain office resources and inventory (i.e., workspace/office layout seating, furniture, supplies, technology equipment, signage, etc.),
  • Primary point of contact for staff inquiries and building management understanding office lease terms and commitments and assist with submitting property requests (i.e. security access, parking, and work order maintenance requests),
  • Provide direct support with staff needing assistance on timesheets, expense reports, certification renewals and mileage log reports,
  • Carry out office sustainability programs and accountability to office lease terms and commitments,
  • Prepare and receive vendor, guest, client & executive leadership visitations/meetings (i.e., order lunch, security access, parking, amenities, seating, safety, etc.),
  • Assist with travel, meeting & registrations for conference, seminars & trainings,
  • Review, process & track payment of office vendor invoices and submit office expense reports,
  • Partner and support Office Principal on office business matters such as building management, crisis & office staff meetings, information technology system updates, general office communications and distributing correspondence from upper management,
  • Perform human resource duties working with supervisors/delegates on new hire orientation/workspace and termination tasks/decommissioning,
  • Oversee the duties as safety coordinator,
  • Coordinate and manage activities / events, and oversee the engagement & budget compliance of the Employee Engagement & Community Program (EECP),         
  • Participate in the Administrative Quality Improvement Meetings providing quality improvement ideas, sharing lessons learned and best practices to enhance efficiency,
  • Assist with the growth of the Administrative Learning Program; serve as a presenter or as a subject matter expert,
  • Provide remote support to an office(s) where administrative staff are not present,
  • Other duties may be assigned as necessary.

  • 7+ years of relevant administrative office experience.

  • Proficient in Microsoft Office Suite/O365 applications.
  • Ability to problem-solve.

  • High level of professionalism and discretion in business matters to handle confidential information.
  • Ability to identify, analyze, communicate, and implement process improvements.
  • Ability to work with remote management.
 
Compensation:
The salary range for this role is $53,000 - $74,000. Salary is dependent upon experience and geographic location.
