GFT is seeking a Administrative Assistant to the Director of Transit and Rail to join our Team in Seattle, WA, Denver, CO, Salt Lake City, UT! This role follows a hybrid work model, requiring regular attendance at our Seattle, WA, Denver, CO, Salt Lake City, UT office.

What you’ll be challenged to do:

In this role you will provide high-level administrative, logistical, and operational support to the Director of Transit and Rail, helping ensure the effective coordination of projects, communications, and team operations across the Transit and Rail Market Sector. This position plays a critical role in maintaining smooth day-to-day operations and supporting the success of strategic initiatives, proposals, and client deliverables.

 

In this capacity, the successful candidate will be responsible for the following: 

  • Manage daily schedules, meeting coordination, and travel logistics for the Director of Transit and Rail.
  • Prepare correspondence, reports, presentations, and project documentation with accuracy and attention to detail.
  • Support proposal preparation, document formatting, and coordination of internal/external submittals.
  • Maintain organized filing systems (digital and hard copy), ensuring QA/QC standards for all deliverables.
  • Track key action items, project deadlines, and follow-up tasks across multiple concurrent initiatives.
  • Assist in coordinating client meetings, internal reviews, and leadership briefings.
  • Manage expense reports, invoicing support, and administrative documentation in coordination with finance staff.
  • Support onboarding and administrative needs of the Transit and Rail team, including coordination of resources and IT access.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Serve as a point of contact for both internal team members and external partners.

What you will bring to our firm: 
  • 3–5 years of administrative experience supporting senior leadership.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and attention to detail; able to manage multiple priorities effectively.
  • Professional demeanor and ability to interact with clients, executives, and multidisciplinary teams.
  • Experience coordinating meetings, preparing agendas, and recording action items.
Compensation:
The salary range for this role is $60,000 - $75,000. Salary is dependent upon experience and geographic location.
