GFT is seeking a Project Coordinator, Submittals  to support the needs of several heavy civil/rail infrastructure projects in the GTA region. This role follows a hybrid work model, requiring regular attendance at our  Toronto office. 

 

In this capacity, the successful candidate will be responsible for the following:  

  • Coordinate and manage the submission, review, and approval process for all project-related submittals, including drawings, specifications, and technical documents.
  • Maintain accurate records and logs of all submittals using established project management systems.
  • Serve as the primary liaison between contractors, consultants, and the client for submittal processes.
  • Ensure compliance with project timelines and technical standards.
  • Monitor and track submittals to ensure timely responses and approvals.
  • Collaborate with the Technical Advisor Team to review and validate submittals for accuracy and completeness.
  • Prepare reports and updates on the status of submittals for project leadership.
  • Coordinate between Technical Advisor Team and Contracting Authority to ensure seamless communication and compliance.
  • Oversee submittal review processes, ensuring alignment with the Project Agreement and construction milestones.
  • Track deliverables to meet schedules and maintain quality standards.
  • Support the Contracting Authority by providing recommendations and compliance evaluations.
  • Review and assess Project Co's submittals, schedules, and deliverables for adherence to the Project Agreement.
  • Facilitate and participate in meetings (planned, ad-hoc, internal, and external) related to design and submittal review processes.
  • Prepare and deliver briefings, training sessions, and materials on submittal review protocols.
  • Collaborate with Project Co to develop effective strategies for submittal review and resolution of NCRs (Non-Conformance Reports).
  • Ensure all processes conform to Project Agreement provisions, including agreements between the CA and Project Co.
  • Provide guidance on submittals, RFIs, and compliance-related reports.

What you will bring to our firm:  

  • Bachelor's degree in Engineering, Architecture or Construction Management.
  • 3 years related experience.

  • Strong attention to detail and excellent organizational skills.
  • Ability to communicate effectively with multidisciplinary teams and stakeholders.
  • Ability to work under pressure and meet tight deadlines.
  • Ability to use Microsoft Office suite, including word, excel and Outlook
  • Knowledgeable with ProjectWise, Unifier and SharePoint preferred. 

Compensation: 

 

The salary range for this position is $61,000 - $70,000.00. Salary dependent upon experience and geographic location.
