Gannett Fleming’s Talent Acquisition Group is looking for an energetic Recruiting Coordinator/Administrative Support with a high level of emotional intelligence, nimble with a positive attitude to join our team. Working directly with our Manager of Talent Acquisition, this Recruiting Coordinator will play an integral role supporting the recruiting function, and contributes to the overall success of the team by providing a high level of project coordination, administrative support and enthusiasm to ensure all candidates have a positive experience throughout the recruiting and onboarding experience.

  • Draft offer letters, initiate requisitions and assisting with onboarding activities
  • Schedule and coordinate details of interviews including travel logistics for candidates and manages reimbursement process
  • Manage postings to external job boards and niche sites
  • Assist with logistics and planning to support regional offices for career fairs and recruiting events
  • Assist Manager of Talent Acquisition with projects and tasks as needed
  • Manage Applicant Tracking System (ATS) candidate records; create and run weekly tracking reports
  • Take on an array of special projects that advance the mission of our recruiting team
  • Assist internal recruiting team in establishing and maintaining candidate pipelines
  • Conduct reference checks on prospective candidates
  • Ensure the candidate and internal client encounter a positive experience with each interaction
  • Sources for qualified candidates and conduct phone screens as needed
  • Schedule meetings on behalf of Manager of Talent Acquisition 



  • Associate Degree in Business Administration, Marketing or similar discipline or equivalent experience
  • 3-5 years prior experience providing administrative support to human resource, business development or marketing professionals in a fast-paced environment
  • Intermediate level of proficiency using MS Excel, PowerPoint and MS Word is required
  • Strong verbal and written communications skills with a strong attention to detail to include accuracy in spelling and grammar
  • Track record of demonstrated initiative, resourcefulness and ability to think critically
  • Must be customer service oriented, proactive with excellent follow up
  • Demonstrates maturity and professionalism as representative of the Talent Acqusition function 
  • Experience with applicant tracking systems such as iCIMS or Taleo is strongly preferred
  • Must be social media savvy and Internet research savvy
