Our Construction Management department in Maryland is looking for an experienced Document Control Specialist/Field Coordinator to work full time at our office in Baltimore, MD. Come join our team!


            Document Control Specialist

  • Utilize Excel and other document management software to track and manage submittals, RFIs, Change Order Requests, Pay Applications, and Progress Meeting minutes for construction projects. 
  • Interface with project managers to assist with developing document tracking procedures
  • Prepare weekly status reports for ongoing construction projects.
  • Attend progress meetings and keep meeting minutes.
  • Review contractor and subconsultant invoices for accuracy and maintain a log of reviews.
  • Manage photographs of construction
  • Proactively coordinate with the project manager and contractor as needed to meet deadlines
  • Prepare contract reallocation letters
  • Support Billing department in preparation of accurate invoices
  • Project Set-up
  • Review contracts and award letters


Field Coordinator

  • Complete timesheet entry in enterprise accounting system on behalf of field staff to ensure timely preparation of accurate invoices
  • Complete expense reimbursement entry in enterprise accounting system on behalf of field staff.
  • Coordinate with field staff weekly or as needed to ensure timely delivery of accurate timesheets and expense forms.
  • Maintain a field staff certifications tracking system and assist staff with registration as needed to maintain certifications
  • Support preparation of a newsletter for field staff.
  • Revise and update field staff resumes.
  • Assist with preparation of inspection reports.
  • Provide administrative assistance to construction project managers.



  • High School diploma and minimum of 5 years professional work experience
  • Bachelor’s Degree Preferred but not required
  • Experience with scheduling and/or document management systems such as Procore, Contract Manager, MCMS, Primavera P3, Primavera P6, MS Project, or other software is preferred but not required 
  • Must be proficient in MS Excel in Word and be capable of obtaining advanced skills with this software.
  • Must have a clean driving record
