    What You Will Do


    Gannett Fleming, Inc. is looking for a driven and talented Administrative Assistant/Project Accountant or Project Manager Assistant/PMA to join our Raleigh, NC office. We rely on our project management assistants to aid and advance our team to produce high quality results for our clients. Join our Journey!

    As a Project Management Assistant, you will need to be a dynamic communicator with the ability to multi-task efficiently and effectively. You must be able to organize projects and materials, in addition to having strong business, financial, computer, and writing skills.

    Our team will need you to serve as an assistant to our project managers and as a database manager. You will interface with our clients, subcontractors and vendors; reviewing and processing requests for information, payments, correspondence, daily reports and other project documents.

    Administrative tasks include:

    • Provide document support including report preparation, formatting, editing and proofreading, and data tabulation – display advanced proficiency in Microsoft Office
    • Act as point of contact for staff working remotely, and assist with ordering of safety equipment, travel, and general questions
    • Assist with onboarding newly hired field staff
    • Maintain records of field staff certifications and assign and schedule certification training.
    • Track and assist with delivery/receipt of company vehicles for field staff, schedule company vehicles for equipment installation and routine maintenance as necessary
    • Assist with generating and maintaining project profiles
    • Assist with marketing duties as needed (e.g., help with RFPs and RFIs, update and format construction technician resumes)
    • Assist with booking and coordination of travel and conferences
    • Back up front desk reception/admin including answering multi-line phone, mail retrieval and distribution, filing correspondence and reports
    • Act as secondary point of contact with property management
    • Help coordinate office moves with Regional Administrative
    • Manager, Office Principal, Project Managers and local Administrative team


    Project accounting tasks include:


    • Assist Project Managers in project accounting, including reporting, using GF’s accounting system (BST)
    • Assist Project Manager in generation of contract documentation
    • Maintain compliance with NCDOT prequalifications
    • Read, comprehend, and understand client contracts for compliance with corporate requirements and project set-up
    • Create/review the Project Authorization-Work Breakdown Structure (PA/WBS) for accuracy and verify compliance with Quality Management System (QMS) requirements for budget entry for new projects and project revisions
    • Monitor and analyze the financial health of projects
      Internal and external audit liaison assistance; maintain project QMS checklists
    • Attend meetings and Project Principal Reviews, and develop and distribute summary minutes
    • Assist with invoice and progress report development
    • Proactively support internal clients (team members) with project activities, and support individual business lines as needed in project-related activities


    Minimum Qualifications


    • At least 5 years of relevant work experience in project accounting with A/E/C firms
    • Proficient with Microsoft Office. Must be proficient in MS Excel and MS Word
    • Strong financial background, including project accounting or cost accounting 
    • Ability to thrive in a detail-oriented, deadline-driven environment is imperative
    • Strong written/verbal communication and organizational skills.
    • Must have the ability to work independently and within a team environment to meet deadlines



    Preferred Qualifications


    • A bachelor's degree in accounting or a related field
    • Construction or Engineering administrative experience including estimating, bidding, contract preparation, scheduling, cost control, etc.
    • Familiarity with contracting software, such as, ProCore, AutoCAD, P6, Timberline, MicroStation, MS Project, etc.
    • Proficiency with accounting systems highly desired - specifically BST or similar
